With our extensive exhibition experience, ProMedia Exhibitions & Events can assist you with your exhibition stand project from start to finish, whether you're new to exhibiting or an experienced marketeer. Our aim is to build long standing client relationships, which is why you'll always receive a top quality stand finish and professional service. ProMedia also offer an exhibition flooring hire service at all UK venues subject to stock and installation crew availability and a minimum of three weeks lead time is required. We can hire our 40mm & 100mm hire flooring to you which includes return transportation, installation and dismantle and a range of floor covering options including budget cord carpets, quality rubber and hessian backed carpets in a wide range of colours as well as floor vinyls and gloor and woodplank laminates. A FREE electrical location plan will be supplied once you have given us locations and socket specs.

our free hire service

To qualify for free hire you must pre book in a minimum of 5 events up front which must be one calendar period (01 jan - 31 dec) at which you can show you are already listed as an official exhibitor. Should you fall short of the agreed event list, we reserve the right to charge standard hire rates.
Pre payments for each event rise from the standard 65% to 80%. Payment receipt will be a minimum of 4 weeks before our first installation date for each event. ProMedia must transport, install and dismantle the stand on your behalf and produce all stand graphics. Free hire stands are subject to system stocks and install crew availability, if your pre payment is not in place 4 weeks prior to install, we will not be able to supply the stand to you. pro60 modular

PRO60 is an extremely versatile modular exhibition system allowing a seamless finish, fabric finish or standard 'panels in channels' effect where the system framework is visible . This system is 2.4m tall so fits under the majority of standard shell scheme booths, making it cost effective for both shell scheme and space only stand designs use the filters below to view this system.

pro80 modular

PRO80 modular exhibition stands are in effect modular custom build stands ! We carry an extensive stock of pro80 to suit all requirements and is available to hire. This enables our client's exhibition presence to stand out from the masses at any event worldwide. PRO80 stands give that custom build look and feel but retain invaluable modular benefits for future events.

Graphic finishes include printed gloss semi rigid panels for straight & curved frames, high quality direct printed aluminium panels which can be pre bent to form the stand corners greatly improving the overall look of the stand. Large expanses of backlit and non backlit printed fabrics can also be incorporated. Suspended branded structures using this system can also add additional impact improving your visibility within the venue, all designed to make the most of your valuable floor space.

We have over 45 years industry experience and we’ve a keen eye for detail. We always plan ahead and try to spot the pit falls before they happen. We pre build all stands to ensure your stand will look the best it can do before we arrive on site for your install. We’ll work with the on site electrical & furniture contractors on your behalf even if we haven’t placed the orders, to ensure as much of your time on site is as hassle free as possible. We must be getting things right as many of our clients have been with us for many years - some approaching twenty years now !

We offer full or partial project management, stand install & dismantle, graphics production (including indesign artwork templets time permitting), floor coverings, sub floor options with upgraded LED edge lighting kits, PRO60 Modular or PRO80 hardware, hire or purchase exhibition stand options, stand storage, shipping crate hire, worldwide freighting service, a wealth of exhibition experience, a free coffee and doughnut (coffee always - doughnut only if we know you’re popping in)

Yes all of our stand designs can be hired from us, however we must install & dismantle and we must produce the graphics. Hired stands can not be self installed.

Generally all UK stands require a minimum of 3 - 4 weeks lead time (time from receipt of your pre payment to our first install date). Overseas stands vary in production time, if we’re making a dedicated drive of your stand to the venue then we will require a minimum lead time of 5 - 6 weeks (time from receipt of your pre payment to our first install date), if we are freighting your stand to the venue then lead times can be much longer depending on the freighting method, in these cases a project time plan would be issued.

Yes indeed, even if we don’t place your electrical order for you we’ll liaises with the on site contractor to ensure the sockets are as you expect them to be. We can also offer a full project management service where we’ll place all the on site orders for you however we will add a 15% handling fee on top of their ‘early bird’, ‘standard’ or ‘missed deadline’ charges which are imposed by the individual contractors (you will be aware of ‘early bird, ‘standard’ and ‘missed deadline’ costs as they will be within your own Exhibitor Manual). We can also supply hostesses and barista coffee bar services (POA).

All stand projects require receipt of a pre payment to enable any work to be actioned. Your specific pre payments percentage will be stated on your quote, these range from 80% up front for FREE HIRE stands, 65% for hire and purchase stands. Any extras added to your project outside of your quote will be added to your balance payment. In all cases balance payments are due for full settlement no later than 14 days after ship out date or our last installation date. Should no trading history be in place between us, all graphics, portable displays and other projects will require full payment up front to action any production process.

Below are the basic key terms and conditions for our exhibition stand projects, please contact us should you wish to review ProMedia's full terms and conditions. All prices we quote are excluding VAT and it is understood that any item or service not described as being included within any quotes or email communications will be excluded from the scope of ProMedia's work.

#1 - HOW DO I SECURE YOUR HARDWARE / LABOUR
All hire stocks and labour services are offered on a first come first served basis; stocks and labour availability can only be secured for your proposed hire layout by requesting a pre payment invoice from us and by ProMedia receiving your pre payment - stocks will then be held against your project for the stated install, show open and dismantle dates specified on our approved quote. Our hire stock and install crews are continually being booked out to projects, therefore to avoid disappointment we strongly recommend making your pre payment just as soon as possible rather than wait for any dates we may show on quotes or email communications. Any deadline dates we suggest are shown in order to give ProMedia enough time to properly plan, pre build, test and check your proposed layout - these dates do not mean that hire stocks or install crews have been secured for your project.

#2 - DESIGN & COST APPROVALS
All hire stocks and labour services are offered on a first come first served basis; stocks and labour availability can only be secured for your proposed hire layout by requesting a pre payment invoice from us and by ProMedia receiving your pre payment - stocks will then be held against your project for the stated install, show open and dismantle dates specified on our approved quote. #4 - BALANCE & 'EXTRAS' INVOICE
Our balance invoice will include 100% of all extra items or services added during the production process. Please note all quoted costs excluded VAT at the current rate. All stands require receipt of a pre payment to secure hardware and install crew availability. In the majority of cases the pre payment will be 65% of a project's total plus VAT. The balance, along with any extras added during the production period, would be due no later than 14 days after our last installation date. Please be aware, where pre payment receipt dates are missed, dates or layouts change we reserve the right to re quote certain aspects such as labour, graphics, hardware hire, accommodation, flights and logistics . Any price rises due to missed deadlines may be added to the project total.
Please also note that freighting quotes are issued based on estimated weights, dimensions and handling charges and these costs can rise once crates have been delivered to the relevant customs authority / venue handling agent, these cost rises are deemed as being out of ProMedia's control and so chargeable to your stand project's balance & 'extras' invoice.

#5 - STAND ARTWORK RECEIPT - THE BASICS
We do our best to spot potential artwork setup / content errors, however responsibility for this lies solely with the file creator / supplying client to fully check all supplied content, spelling and accuracy. We will do our best to visually check for errors but do not guarantee to spot any errors within supplied files which are understood to be supplied as 'Ready To Print' files. Please note late artwork receipt or delays due to incorrect artwork setup or content may incur 'overtime' and / or 'rush charges' - charges will be at the discretion of ProMedia's Directors.

#6 - UK STAND PROJECTS - THE BASICS

#7 - OVERSEAS PROJECTS - THE BASICS
All overseas stands require a minimum of 6-7 weeks lead time prior to our load date*. All hire stocks and labour services are offered on a first come first served basis; stocks and labour availability can only be secured for your proposed hire layout by requesting a pre payment invoice from us and by ProMedia receiving your pre payment - stocks will then be held against your project for the stated install, show open and dismantle dates specified on our approved quote. Our hire stock and install crews are continually being booked out to projects, therefore to avoid disappointment we strongly recommend making your pre payment just as soon as possible rather than wait for any dates we may show on quotes or email communications. Any deadline dates we suggest are shown in order to give ProMedia enough time to properly plan, pre build, test and check your proposed layout - these dates do not mean that hire stocks or install crews have been secured for your project. #8 - EMAILS, CONFIDENTIALITY, VIRUSES
Please note: Vesey Thompson Group Ltd, trading as ProMedia is able to and reserves the right to monitor e-mail communications passing through its' network. Any views or opinions presented within ProMedia emails are solely those of the author and do not necessarily represent those of the company. Confidentiality: All ProMedia email including attachments may contain confidential information which is intended for the addressee only. If you are not the intended recipient you are prohibited from printing, copying or distributing it. If you have received an email in error, please notify the sender immediately by return email or by telephone and delete the email from your system. Viruses: It is our policy to check emails for viruses before sending, but we recommend that you check the message and any attachments, as either could contain viruses which could damage your systems.

#10 - ORDERING OF ON SITE SERVICES - Where ProMedia are asked to organise, order and pay for on the customers behalf, additional on-site services such as; electrics, floor coverings, rigging, water supply, furniture, plants etc ProMedia will apply at 15% surcharge to each service. Should you have instructed us to organise these services past any "early bird" rate cut off deadline imposed by the supplier(s) you agree to pay the "late order" charges plus our surcharge rate.

#11 - CANCELLING AN ORDER - All cancellation must be notified in writing via post to ProMedia Exhibitions Office; Unit 3a, First Floor, Manor Farm, Manor Farm Business Centre, Gussage St. Michael, Dorset BH21 5HT. Orders can only be cancelled prior to despatch, once goods have left ProMedia, handling, re-packaging, replacement of damaged components, re-stocking and all transport charges will be chargeable. Under no circumstances ProMedia will accept returns that do not have their original packaging in tack. Non-standard products that are being specifically designed or manufactured to your specification are not returnable, this includes items which are non-stock colours. Please contact the sales team for more details and to find out whether the product you are interested in is made to order. Upon receipt of returned goods and subject to inspection, payment to the value of the goods as per ProMedia's invoice will be refunded.

#12 - FORCE MAJEURE - Operation of our supply of hardware and supply of UK or worldwide installation and shipping services may be interfered with by numerous factors outside of our control, such as natural disasters, third party travel operator strikes etc, that could not be evaded through the exercise of due care. ProMedia shall not be liable to you for any delay or failure in performance under this Agreement resulting directly or indirectly from causes or influences of Force Majeure beyond ProMedia's control.

#13 - DISCLAIMER - Model variation and design changes, price and availability information is subject to change without notice. All prices are shown excluding VAT (unless stated otherwise). Delivery timescales displayed on this website, on ProMedia's literature and quotations are based on normal working days and are subject to stock availability as well as production schedules. ProMedia does not accept liability for any errors or omissions in any, or all, of its publications and quotations nor on its website, and reserves the right to change information, specifications and descriptions without prior notice.

#14 - ERRORS AND OMISSIONS - ProMedia reserve the right to correct at any time any pricing or specification errors within our web site pages, quotations or literature. Should ProMedia have made a genuine pricing or specification error in any of ProMedia's descriptions we will correct it and re quote the item(s) at the corrected prices to the customer. Any previously quoted prices will be over ridden with the new updated costs.
